Mailboxes for Instantly: Infrastructure Layer Guide

Two layers, two jobs

Think of your outbound stack as two layers.

Sequencer layer (Instantly). Lists, campaigns, steps, schedules, sending caps, inbox rotation, reply handling, analytics.

Infrastructure layer (mailboxes). Domains, Workspace or Microsoft tenants, DNS records, warmup, mailbox health, and who owns the admin console.

Most deliverability problems that show up inside Instantly are infrastructure problems: a domain missing DMARC, too many mailboxes on one domain, a batch of accounts on a fragile licence, or volume ramped too fast. Debug the bottom layer first.

Where Instantly users get mailboxes

Instantly's own mailbox offering. Convenient if you want everything in one bill. Ask the same questions you would ask any provider: licence type, admin access, domain ownership, and portability.

Buy Google Workspace yourself. Full control, all the DNS and warmup work is yours.

A dedicated infrastructure provider. Official Workspace seats on your domains, with DNS and warmup automated, then connected into Instantly using the methods Instantly supports.

There is no single right answer. Agencies with many client pools tend to want the infrastructure separate from the sequencer, so they can move or replace either one without rebuilding the other.

Setup checklist for mailboxes going into Instantly

  1. Dedicated domains. Never connect your primary company domain to cold campaigns.
  2. Two or three mailboxes per domain to start. Spread risk across domains instead of stacking one domain.
  3. Authentication passing. Send a test from each new domain to a Gmail address, open Show original, and confirm SPF, DKIM, and DMARC all say PASS.
  4. Custom tracking domain if you use link tracking, so you are not sharing a tracking domain with strangers. Better still, consider running without open tracking.
  5. Warmup for roughly two to three weeks before campaign volume.
  6. Conservative daily caps per mailbox in Instantly, raised slowly.
  7. Sending window and gaps that look like a person, not a burst.

Connecting mailboxes to Instantly

Instantly supports connecting Google accounts through sign in with Google and through IMAP/SMTP with app passwords, plus bulk import for larger batches. Before you connect a large batch:

Make sure IMAP is enabled for the Workspace users if you are using that method. If you use app passwords, 2FA must be on for each account. Name mailboxes consistently (first name, last name, role) so rotation looks human. Keep a sheet of domain, mailbox, provider, warmup start date, and status. It is the first thing you will want when a campaign dips.

Settings that protect the mailbox layer

Daily limit per mailbox. Start low and increase across weeks. The total campaign volume should come from more mailboxes, not more sends per mailbox.

Open tracking. A tracking pixel is one more element filters can weigh. Many teams turn it off and judge campaigns by replies from humans. Open rate in cold email is noisy anyway because of image proxies and bots.

Links. Keep first touches link light. A plain text email with no links is the safest first step.

Rotation. Let Instantly spread a campaign across many mailboxes on many domains rather than pushing one inbox hard.

Bounces. Verify lists before upload. High bounce rates hurt the mailbox, not the campaign.

How to tell a sequencer issue from an infrastructure issue

Use this quick test:

Replies dropped across every mailbox at once after a copy or list change: likely list or copy.

Replies dropped only on certain domains: infrastructure. Check DNS, domain age, density, and health on those domains.

Bounces spiked: list quality.

Mailboxes being disconnected or suspended: account or licence issue.

Everything fine in warmup, poor in campaigns: volume, targeting, or content, not warmup.
