Instantly Infrastructure Layer: What You Still Need

What Instantly covers in the stack

Speaking in category terms, not as a scraped feature list:

  • Campaign creation and sequencing.
  • Connecting many sending accounts.
  • Per account send limits and rotation behaviour.
  • Unibox or reply handling workflows.
  • Analytics on sends, replies, and related campaign metrics.

Exact labels change as Instantly ships product. Confirm current capabilities in Instantly's own docs and UI. The point for this article: Instantly orchestrates sending. It does not replace owning correctly set up mail domains.

What Instantly does not replace

1. Dedicated domains you control

Cold email should not ride your primary company domain. You still need outbound domains, registration access, and redirects to your main site. See Primary Domain Isolation for Cold Email.

2. A named mailbox platform

"Connected account" is not a platform. Prefer official Google Workspace seats in an organization you admin. Shared SMTP inboxes can connect to a sequencer and still inherit neighbours you never met. See Dedicated Google Workspace vs Shared Cold Email Infra.

3. DNS authentication

MX, SPF, DKIM, and DMARC live on the domain, not inside the campaign builder. Google's sender guidelines still apply to mail that hits Gmail. See SPF DKIM DMARC Setup for Cold Email and MX Records on Dedicated Domains for Cold Email.

4. Admin security

Password resets, 2FA enforcement, offboarding, and sign in review happen in Google Admin (or equivalent). The sequencer can hold a stale connection after a compromise; it cannot replace admin hygiene.

5. Honest capacity planning

Instantly can enforce per mailbox daily limits you set. Choosing those limits is still on you. Common operator practice stays around roughly 20 to 40 cold sends per warmed mailbox per day including follow ups, with two or three mailboxes per domain. 6. Warmup policy

Whether warmup runs in Instantly, at an infra provider, or in a separate tool, someone must own the ramp. Warmup helps build history; it does not forgive bad lists.

If Instantly also offers mailboxes

Some sequencers also sell mailboxes or infrastructure. That can be convenient. It does not change the checklist. Ask the same questions you would ask any provider: platform and licence, whose organization, whose domains, what admin access you get, how DNS is published, how isolation works for agencies. What a clean Instantly plus infra setup looks like

  1. Dedicated outbound domains authenticated with MX, SPF, DKIM, and DMARC.
  2. Official Google Workspace mailboxes with 2FA and admin access.
  3. Density and caps in the operator practice ranges above.
  4. Mailboxes connected in Instantly using methods Instantly documents: typically Sign in with Google (OAuth) or IMAP and SMTP with app passwords.
  5. Campaigns that rotate across mailboxes and across domains.
  6. Success judged by human replies, bounces, and complaints, not by open rate alone.

Gaps that show up as "Instantly deliverability problems"

  • Domains never finished DKIM start authentication.
  • Too many seats on one domain after a volume push.
  • Shared SMTP bought in a hurry to feed Instantly account slots.
  • Primary domain added as a sending account.
  • Caps raised to chase Google's published send ceiling.
  • List quality dropped to fill the new capacity.

Decision guide: keep Instantly, fix the layer under it

Most teams in this search are not trying to rip out Instantly. They are trying to stop asking the sequencer to fix problems it cannot see. Keep Instantly for campaigns and replies. Put dedicated Workspace mailboxes, clean DNS, and sane density underneath. Replace Instantly only if your evaluation is really about sequencing features, not about placement after a volume spike.

Smartlead and n8n note

If part of your stack is Smartlead, the same split applies: sequencer above, infrastructure below. Automation tools such as n8n belong beside that stack when you provision or sync through documented Google or IMAP paths. Ask how any handoff works and check Instantly's docs before you rely on a ColdMail specific connector story.

  • Platform named (official Google Workspace preferred for ColdMail buyers).
  • Domains transferable and separate from primary brand domains.
  • Admin console access with 2FA.
  • SPF, DKIM, DMARC, and MX visible and passing before campaigns.
  • Per mailbox caps in operator practice ranges; rotation across domains.
  • Warmup optional and adjustable.
  • No reliance on placement percentages in the vendor pitch.
